Genki Convention Policies

Please read and understand the policies for Genki 2010. These policies ensure that we all have a friendly and safe environment at the convention and everyone is expected to follow the rules.

Rules of Conduct

  • Always follow Danish law and common sense.
  • Guests are at their own risk and must be aware of the dangers incidental to Genki, including personal injury, theft and failure to comply with our rules.
  • Please be aware of your surroundings and remember to treat other guests in a kind way. Disruptive behaviour is therefore not allowed so we can keep Genki a friendly place. This means that running, screaming, yelling, horseplay, unsolicited physical contact, or any such behaviour shall be deemed as disruptive by our staff.
  • Treat your surroundings with respect. The convention is clean when guests arrive and we hope to keep it that way with your help. Guests that damage any aspect of the venue or causes need for repair and/or replacement will be personally held responsible.
  • The convention is not responsible for your items getting lost. Please take good care of your own things. With so many people around things can get “lost” quickly.
  • Do not leave your things unattended. They will be taken by the convention staff. Please refer to the information desk if you have lost any items.


Age

  • You must be at least 13 years of age to participate in Genki on your own.
  • If you are under the age of 13, you must be accompanied by someone at least 18 years of age. You can also be accompanied by someone older than 12, but younger than 18 (i.e. 13-17 years old), but only with written permission from your parents expressing that they know who their child is accompanied by.

Wristbands

  • Guests not wearing wristbands during the convention will not be allowed access to the convention space, only the free areas.
  • A fee will be charged for replacing a lost or broken wristband. Wristbands can only be issued in the reception area by showing valid ID.


Alcohol and Drugs policy

  • Smoking, drugs and alcohol are prohibited in the convention and free areas in general.
  • Alcohol bought in the café may be consumed in the café if of legal drinking age. Please drink responsibly, however, as heavily intoxicated people will be expelled from convention grounds.


Line manners

  • While in line please make sure that you do not block traffic. We know it is fun to talk to friends in line, but do try to not block the flow of traffic.
  • Lines should never block doorways, entrances or exits so leave a gap in the line for these.
  • Guests caught skipping in line will be sent to the back of the line.
  • Disabled people, convention staff, guests of honour, and dealers are line exempt, i.e. they do not need to wait in line with other guests.


Film & Photo policy

Everyone is allowed to take pictures and film at Genki, however, you must follow the rules of Danish press ethics and laws on privacy, the most important of which we have emphasised below, as well as a few rules by us:

  • When taking a photo or recording a specific person (e.g. a portrait photo), you must have permission from that person as well as notify them of what the picture will be used for. Failing to do so makes the product illegal to publish in any shape or form (even on Facebook).
  • You do not need permission to take a general photograph of an event during the con. However, you are by law obligated to delete the photo should one of the people whose picture was taken ask for it. Any compromises are to be done privately.
  • If you have gained permission to take a picture of a person you are no longer obligated by law delete the picture even if they change their mind later. However, this only applies if you use the photo within the frames of what you notified them of using it for. So people, please be 100% what you say okay to.
  • Copyright of photos and video footage belongs to the photographers and movie makers, however, it is entirely within Genki’s legal rights to limit how the photos/footage may be used and to demand for photos or parts of footage to be removed.
  • Photos and videos published by the photographers and movie makers who took them to Genki’s/Genkai’s Facebook group galleries will be considered as published under the Creative Commons DK licence.
  • If you want to use photos or films from Genki commercially, you must first seek permission from the organisers via info@genki.dk.
  • Flash photography during the Cosplay Show is not allowed out of concern for the cosplayers and other participants.


Flyer policy

  • We will have a table available for flyers at Genki. There is no charge to place flyers, but please respect others flyers and keep your stack of flyers to a minimum.
  • Flyers should be a maximum of an A4 in size.
  • Please don’t paste your flyers around the convention and limit them to the table near the information desk. If you want to have your flyer placed elsewhere please refer to the information desk.
  • If we find excessive amounts of flyers placer in multiple unapproved areas all flyers from the organisation will be removed from the entire convention.
  • If you want your flyers back, please take them back before the end of the convention, since all flyers left over after we close will be recycled.
  • Flyers must be first be approved by staff at the information area before placed on the information table.


Artist Alley Booths

  • Age: You must be at least 14 years old to rent a booth.
  • Price: You can rent an entire booth (120×80 cm) for 100 DKK or half a booth (60×80 cm) for 50 DKK in case you want to share with someone. Rentals last for the full duration of the con, i.e. an entire booth is 100 DKK for all three days, NOT 100 DKK for one day.
  • Content of art: Anything is okay (including fanart, anthro, etc.), however, anything above PG-13 is required to be concealed in e.g. a folder, so only people interested can view it.
  • Goods: The following types of goods have been pre-approved for being sold from a booth; Prints, Originals, Badges/Buttons, Stickers, Bookmarks, Doujinshi, Comics, Key Chains, Plushies. Anything else, please contact artists@genki.dk for approval.
  • IT IS VERY IMPORTANT THAT ALL THE PRINTED GOODS FEATURE THE ARTISTS’ OWN WORKS.


AMV rules

  • Your AMV may only contain clips from anime.
  • Your AMV may not contain +18 material. If you’re in doubt about whether or not your video abides by the rule, feel free to contact amv@genki.dk
  • Minimum duration for your AMV is 1 minute, max duration is 5 minutes, and the file size may not exceed 300 MB.
  • Du may not use recordings with fan-subs or commercial subtitles, but you are welcome to add your own subtitles wherever relevant. We would however note that this can be distracting, which will influence the assessment negatively.
  • Your AMV must be playable in VLC without additional codecs.
  • We only want to receive the AMV itself; no intro in the beginning or credits in the end. We, Genksters, will take care of that.
  • Genki reserves the right to change the rules or reject submitted material if we find it necessary.


Cosplay Rules

  • Costumes may not block or disturb other guests or in any other way be dangerous to others.
  • Offensive and otherwise revealing attire is prohibited during the convention.

Cosplay Walk-on

  • All costumes are allowed (i.e. bought, home-made, etc.).
  • The cosplayers will be sorted by series unless something else is requested, e.g. two or more people wanting to pose together.
  • There are no prizes for this event.

Craftsmanship contest

  • Only self-made costumes/props are allowed.
  • The judges will before the start of the contest have inspected the costumes for quality, workmanship, etc.
  • In this contest there will be prizes for first, second and third place for best crafted costume as decided by the judges, Mona Winther, Risa Hvidberg, and Daniel Christensen.

Cosplay Masquerade (“Cosplay Show”)

  • All costumes are allowed (i.e. bought, home-made, etc.).
  • There’s a limit of max 25 groups.
  • Time limits: 1-2 people = 1-3 min; +3 people = 3-5 min.
  • Prizes will be given in various categories as decided by the judges + an “Audience Choice Award” decided by SMS voting.


Weapon Policy

To offer every guest a safe and enjoyable experience we ask that everyone read the rules and policies we have on weapons for the convention. Anyone not following rules will be dealt with instantly on site by our staff.

  • Banned weapons

No actual metal weapons like:

  • Swords
  • Knives
  • Metal objects
  • Metal armour

No guns/projectile weaponry like:

  • Air soft guns
  • Replica firearms
  • BB guns
  • Crossbows
  • Water guns

No chemical or explosives. Period.

If it is illegal in Denmark it is illegal at the convention.

When in doubt check with staff.

If you behave inappropriately with weapons staff can take them from you, REGARDLESS of the safety of the weapon.


Pashiri

  • You have to be at least 16 years old to be a Pashiri (helper).
  • We ask you to be punctual when it comes to your shifts. If you can’t make it for your shifts, or if you overslept, you are to contact our reception desk so that we can find a replacement for you. We will of course understand it if you miss your shift due to an unexpected problem or an emergency, but we will still have to find a stand-in.
  • If there is an event or a competition that you would like to compete in, then you have to contact us at least one week before Genki starts so that we can correct the time schedule. If you contact us after this point, we cannot guarantee that you will have time off during the contest.
  • Since we need as many Pashiri as perky as possible Saturday morning, we’d like to ask you to refrain from partying too hard Friday evening/night. However, feel free to party as much as you want on Saturday (unless you have a shift).
  • We will provide you with a place to sleep at Kulturhuset so you won’t have to walk all the way to the sleeping locales, so you don’t have to worry about it!
  • We will provide breakfast every day for all our Pashiri. We can however not provide lunch or supper, since we are still a small Genki, so you’re on your own when it comes to that.
  • We expect you to show up at the Krew meeting Friday or Thursday so that you can be briefed of your role and shifts. If you can’t show up at the briefings your are to report it to us in advance and then you will get a short recap when you arrive.
  • We will, as best as we can, make sure that all Pashiri and organisers equally share the workload/shifts. If, however, you want to work more shifts, you will be welcome to. Just specify where you’d like to work: cinema, wardrobe, reception desk, game room, etc.

Our Pashiri leader reserves the right to remove a person’s Crew badge during the con if it is confirmed that the person does not live up to the requirements we ask of you. If this happens, you will not be refunded the 150 DKK after the convention, but you are welcome to stay for the rest of the weekend as a regular participant. This will only happen in extreme cases though.
